Using Your Account with Calendly

Add your meeting details as a custom location

You can add your conferencing details — meeting link and/or a dial-in number and access code — to your event type as a custom location. In your Calendly account:

  1. Select your event type.
  2. Expand What event is this?
  3. Under Location, select Custom.
  4. Paste your personal conferencing link or dial-in number and code. You can choose to display your link as invitees book or after they've booked with you.
  5. Select Update.
  6. Select Save & Close.

Your link will automatically appear in the calendar invite every time a meeting is scheduled.

We recommend turning on the 'Waiting Room' feature. This will ensure that you are always aware of who is joining your meeting room and you are in full control of who to admit and when.

Generate your conferencing details after your invitee books

If you prefer to schedule meetings using a 'one-time' access code you'll need to generate a new meeting link for each scheduled event. To set expectations with your invitee, you can add a note as a custom location. In your Calendly account:

  1. Select your event type.
  2. Expand What event is this?
  3. Under Location, select Custom.
  4. Enter something like, "I'll follow up with dial-in or video conferencing details."
  5. Select Update.
  6. Select Save & Close.
  7. Once an invitee books a time, schedule a new meeting using the 'one-time' access code feature, then update the calendar event with the details.
